Senior Administrative Officer (Academic Administration), Hong Kong Art School


Job Duties

  • Provide professional administrative interface between staff and students at Hong Kong Art School and deal efficiently with operational matters of the School and respond appropriately to student welfare issues.
  • Work closely with Programme Coordinator, supervisors and management team to support the daily operations and administration of the School academic programmes.
  • Mainly administer bachelor degree programmes and involve in other award-bearing programmes if needed.
  • Perform various administrative duties, including but not limited to maintaining student databases, preparing correspondence, managing event calendars etc.
  • Manage programmes’ timetabling, assessment schedules, activities and venue booking on an ongoing basis.
  • Handle meetings and related administrative tasks as well as logistic arrangements (e.g. agenda, minutes, reports, schedules, venue booking and set up) in accordance with School procedures.
  • Handle enquiries and requests by students, teaching staff and assist them on a timely manner.
  • Handle student admission, application, interview and onboarding matters, including new student orientation and other registration arrangements. 
  • Assist students’ recruitment and marketing events occasionally.
  • Perform any ad hoc duties as assigned by Supervisors.

Requirements

  • Degree holder with a minimum of 3 years of relevant working experience. Prior experience in school or educational institutions will be an added advantage.
  • Detail-oriented, independent and have strong sense of responsibility. Willing to follow up with tasks in a proactive way.
  • Excellent organisational skills and attention to details. Good analytical and problem-solving skills.
  • Excellent team player with excellent communications and interpersonal skills.
  • High proficiency in MS Office including Word, Excel and PowerPoint, and a fast learner of new systems.
  • Good command of written and spoken of English and Chinese.
  • Immediate available is an advantage.
  • Candidate with less experience will be considered as Administrative Officer.

Registrar / Assistant Registrar (Hong Kong Art School)


Job Duties

  • Plan, coordinate and supervise all aspects of the academic administration functions.
  • Be responsible for leading and managing the School’s governance processes and develop/enhance the School’s policies and regulations to ensure it is in line with the requirements of the governance bodies. Liaise with corresponding government bureaus or professional bodies where necessary.
  • Work closely with academic team and the School’s partners to ensure that the key student lifecycle processes are delivered consistently and accurately.
  • Analyse data and trends to inform decision-making and prepare reports for senior management and stakeholders.
  • Drive improvements in systems and processes to enhance the service quality, operational efficiency and risks mitigation.
  • Provide executive support to committees and participate in committee meetings. Work with School Director for project presentations and taking minutes.
  • Monitor the budget control of general expenses, equipment budgets and capital projects for the School.
  • Be responsible for the leadership, motivation, support and line management of the staff in the relevant registry areas ensuring that appropriate standards of behaviour, performance and customer care are demonstrated at all times.
  • Nurture a culture of collaboration, synergy and continuous improvement.
  • Take up any other duties as assigned with a proactive and hands-on attitude.

Requirements

  • A recognised degree with at least 10 years or above work experience, at least 5 years at the managerial level and preferably solid administrative experience in tertiary education.
  • Demonstrated expertise and contributions in the academic field.
  • Good understanding of Hong Kong’s higher education system.
  • Familiar with accreditation standards and processes is a plus.
  • Proven ability to adapt and to work highly effectively in a multi-tasked environment under high pressure with high volume of work.
  • Strong team building and problem-solving skills.
  • Excellent organizational, time management and interpersonal skills.
  • Committed to make changes and implement best practices to the School.
  • Excellent written and communication skills in both English, Chinese (including Putonghua).

Guest Experience Officer (2-year Renewable Contract)


Job Duties

  • Monitor the reception counters; lead and coordinate the concierge services to provide one-stop experience to visitors.
  • Handle visitors’ enquiries promptly and professionally.
  • Manage the operations of the Art Shop including but not limited to inventory control, opening and closing the shop, managing the full sales cycle, ensuring the accuracy of POS etc.
  • Maintain brand image and ensure VM of the shop in line with the standard.
  • Assist to run the online shop including update the product information, respond to customers, fulfil the orders as well as arrange the delivery.
  • Participate in other venue operations including handle the venue booking enquiries, follow-up hire packages etc. if needed.
  • Prepare reports and assist in other administrative duties.
  • Perform any ad hoc duties as assigned.

Requirements

  • DSE or above with at least 2 year working experience.
  • Experience in frontline customer services e.g. hospitality, retail, is preferred.
  • Able to work on rostering and perform shift duty.
  • Pleasant, out-going and passionate.
  • Excellent customer service and inter-personal skills. Well-organised, detail oriented and proactive.
  • Being flexible and adaptable.
  • Good time management with a strong sense of responsibilities.

Administrative Officer (Hong Kong Art School)

  • Provide administrative support to the office daily operation, including handling email and phone /walk in enquiries and manage the reception/enrolment counter.
  • Handle complaints and follow up with relevant parties, and compile complaint report.
  • Provide administrative duties to school functions including student admission, student registration and enrolment, tuition fee payment, financial aid, financial reports, and student activities.
  • Liaise with internal and external stakeholders for students and school activities.

Requirements

Assistant Manager (Arts Education – Kids & Adults Programme)


Job Duties

  • Support the reporting Manager in coordinating the operations and logistics of arts-related courses and programmes for children and adults.
  • Contribute to the creative development and implementation of arts education events and activities that promote community engagement.
  • Work closely with team members to ensure smooth day-to-day operations, including tutor liaison and participant communications.
  • Assist in developing course content and promotional materials in collaboration with tutors and subject experts.
  • Monitor programme logistics, handle course-related inquiries, and support the resolution of operational challenges to enhance overall efficiency and learner experience.
  • Coordinate enrolment data, course records, and attendance reports using Excel and database platforms/tools to ensure accurate tracking and reporting.
  • Provide on-site support for classes and events when needed.
  • Take on ad hoc tasks and projects as assigned by the reporting Manager.

Requirements

  • Tertiary education with 5+ years of relevant experience, preferably in arts, education, or community programming, with prior work experience in educational institutions or arts organisations considered an advantage.
  • Proven ability to develop educational content and manage children’s or community events with creativity and precision would be an advantage. 
  • Strong project coordination, problem-solving, and team collaboration skills.
  • Excellent written and verbal communication skills in both English and Chinese; able to craft engaging course and promotional content.
  • Proficient in MS Office (especially Excel) and Chinese word processing, 
  • With experience using database tools/platforms for course and enrolment management (e.g., SchoolTracs or similar) and knowledge of visual design tools (e.g., Canva or Adobe Creative Suite) is a plus.
  • Self-motivated, responsible, and detail-oriented, with a passion for engaging communities through the arts.

School Facilities Assistant (Part Time)(PT-SFA (NS))


Job Duties

  • Responsible for setting up the classrooms in accordance with the teaching requirements provided by supervisor or lecturers.  
  • Support the equipment rental and classroom booking by students.
  • Assist in school operations e.g. maintain the cleanliness of the classrooms; ensure the classrooms are being locked when not in use; update and post notices/memos on student notice boards; manage printing requests from students etc.

Part-time Ushers


Job Duties

  • Provide ushering and front of house service in theatres, assist in house rules and regulations enforcement
  • Perform effective communication with patrons, guests and venue hirers
  • Assist in crowd control to ensure smooth running of events and activities
  • Handle enquiries and provide high standard of customer services for venue visitors
  • Assist in facilities management for maintaining a clean, safe and comfortable environment for all venue users
  • Update signage / poster/ publicity material for the public in the premises

Requirements

  • Holder of HKDSE or above with relevant experience in customer services is an advantage

Over the years, Hong Kong Arts Centre has offered opportunities to local and overseas university students to gain an exciting and fulfilling experience through our internship and volunteer schemes. Our internship programme provides an excellent opportunity for their students to explore their potential through hands-on work experience, gaining exposure to the different aspects in the operation of the Hong Kong Arts Centre. The learning experience is a stepping stone to a promising future in arts administration and arts education.

Are you art lovers? Do you have time to spare? Join the Hong Kong Arts Centre as a volunteer! Our volunteers come from a variety backgrounds, helping with events and programmes and providing administrative support to the Hong Kong Arts Centre. They are also trained to give docent tours. Volunteers can participate in various types of service, depending on their knowledge, interest and availability. No previous experience is required. Let us know your availability.

  • Holder of the Hong Kong Permanent Identity Card;
  • Fluent in at least one of the following languages: Cantonese, Mandarin, English; and
