Administrative Officer (Hong Kong Art School)


Job Duties

  • Provide administrative support to the office daily operation, including handling email and phone /walk in enquiries and manage the reception/enrolment counter.
  • Handle complaints and follow up with relevant parties, and compile complaint report.
  • Provide administrative duties to school functions including student admission, student registration and enrolment, tuition fee payment, financial aid, financial reports, and student activities.
  • Liaise with internal and external stakeholders for students and school activities.

Requirements

Assistant Manager (Arts Education – Kids & Adults Programme)


Job Duties

  • Support the reporting Manager in coordinating the operations and logistics of arts-related courses and programmes for children and adults.
  • Contribute to the creative development and implementation of arts education events and activities that promote community engagement.
  • Work closely with team members to ensure smooth day-to-day operations, including tutor liaison and participant communications.
  • Assist in developing course content and promotional materials in collaboration with tutors and subject experts.
  • Monitor programme logistics, handle course-related inquiries, and support the resolution of operational challenges to enhance overall efficiency and learner experience.
  • Coordinate enrolment data, course records, and attendance reports using Excel and database platforms/tools to ensure accurate tracking and reporting.
  • Provide on-site support for classes and events when needed.
  • Take on ad hoc tasks and projects as assigned by the reporting Manager.

Requirements

  • Tertiary education with 5+ years of relevant experience, preferably in arts, education, or community programming, with prior work experience in educational institutions or arts organisations considered an advantage.
  • Proven ability to develop educational content and manage children’s or community events with creativity and precision would be an advantage. 
  • Strong project coordination, problem-solving, and team collaboration skills.
  • Excellent written and verbal communication skills in both English and Chinese; able to craft engaging course and promotional content.
  • Proficient in MS Office (especially Excel) and Chinese word processing, 
  • With experience using database tools/platforms for course and enrolment management (e.g., SchoolTracs or similar) and knowledge of visual design tools (e.g., Canva or Adobe Creative Suite) is a plus.
  • Self-motivated, responsible, and detail-oriented, with a passion for engaging communities through the arts.

Senior Manager, Fundraising and Projects


Job Duties

    1. Fundraising and Partnership Development
  • Work closely with Executive Director and Development Committee to develop and grow HKAC fundraising programme.
  • Keep improving existing fundraising operations’ effectiveness and also devising new events and programmes to explore new fundraising opportunities.
  • Plan and execute large-scale event-based fundraising activities and events such as charity galas, golf event, art auctioning event etc.
  • Identify and liaise with potential corporate sponsors and partners, building and maintaining strong relationships.
  • Develop fundraising event proposals and programs, and pitch to prospective sponsors.
  • Follow through after events with event wrap up, logistics and donor communications.
  • Collect and analyze data, provide feedback and recommendations for improvement.
  • Assist in maintaining members’ database.
  • Not responsible for soliciting or managing individual donations.

        2. Projects

  • Work closely with Executive Director in developing and executing new initiatives. Participate in or lead projects managed by ED office.
  • Communicate and present the project ideas and proposals to different stakeholders.
  • Prepare and develop proposals for funding applications of projects. Plan and oversee programmes and projects as needed, after funding is approved.
  • Manage and work with other team members during project planning and project execution.
  • Liaise with internal and external parties to ensure both the project quality and timelines are met.
  • Assist in reviewing pitching decks or presentation materials to ensure consistent and high quality standards.

Requirements

  • Degree or above holder in marketing, communications, public relations, event management, or other relevant disciplines.
  • At least 10 years of work experience, with minimum 5 years of managerial experience preferably in the field of event management and/or fundraising.
  • Proven track record of planning, developing, implementing and executing successful fundraising events.
  • Excellent execution, organisation and problem-solving skills, and able to work independently.
  • Multi-tasking; adaptive to changes and able to work under pressure and with tight deadlines.
  • Proactive, outgoing and presentable; able to communicate at all levels.
  • Detail-oriented and self-motivated to drive for results and strive for excellence.
  • Excellent writing and communications skills in both Chinese (Cantonese and Mandarin) and English.

Director, Hong Kong Art School


Job Duties

  • Assist the School Council in keeping an up-to-date and insightful overview of the School’s strategic development.
  • Translate the School’s vision into agreed objectives, formulate and executive the overall aims and objectives for the School.
  • Report to the School Council on activities concerning the general running of the School.
  • Promote collaboration within HKAS as well as with HKAC’s team.
  • Oversee the curriculum and evaluate the performance of programs.
  • Support accreditation, institutional assessment and academic program review.
  • Ensure excellent and quality teaching and learning through program design. Organise and implement a diverse, flexible curriculum as well as an effective assessment framework.
  • Oversee the academic staff’s selection and retention. Manage their performance through different channels including classroom observations and ensure effective corrective actions.
  • Support academic staff and encourage collaboration between full-time and part-time tutors.
  • Develop a culture of fundraising and plan and lead the fundraising activities for the School.
  • Represent the School to build and expand the partnerships with academic institutions both locally and globally, including the China educational institutions at Greater Bay Area (GBA).
  • Develop new programs which in line with the School’s long-term objectives.
  • Monitor student retention and recruitment and provide directions and guidelines to relevant teams in supporting students’ journey and success.
  • Take a strategic role in the development of the new and emerging technologies to enhance and extend the learning experience of students.
  • Direct and oversee the School’s operations including but not limited to budget planning and monitoring, resources management, facilities management etc.
  • Assess and make recommendations about the utilization of the School’s facilities and space to ensure it meets the needs of students, the curriculum and health and safety regulations.
  • Foster and facilitate a supportive environment for inter-department/team collaboration.
  • Ensure the compliance of the School is in line with Education Bureau.

Job Summary: 
Reporting to Executive Director of Hong Kong Arts Centre (“HKAC”), the School Director of Hong Kong Art School (“School”) shall fulfil the mission of the School by working with the senior management team of HKAC as well as the School Council, with the key responsibilities in managing overall academic program quality, assessment of curriculum, budgeting and fiscal management, fundraising, new program development and student recruitment/retention.

Senior Admin & Procurement Officer


Job Duties

  • Conduct end to end procurement processes including tender, RFQ, contract renewal, purchase requisitions, purchase orders and for HKAC’s central procurement.
  • Work with internal stakeholders to determine specifications and requirements of assigned sourcing projects.
  • Conduct price analysis to ensure compliance with procurement policy and work with manager to review the suppliers’ performance regularly.
  • Manage contracts / PR database and document copies and prepare monthly reports.
  • Assist manager to formulate, review and implement policies and procedures for effective and efficient office administration and procurement workflows.
  • Participate in administrative tasks e.g. managing office renovation or relocation projects, review the workplace safety and office security etc.
  • Support the operations including but not limited to oversee the office tidiness, space management, budget preparation etc.
  • Prepare various reports and handle ad hoc projects as assigned by the manager.

Requirements

  • High Diploma or above in Business Administration or related disciplines.

School Facilities Assistant (Part Time)(PT-SFA (NS))


Job Duties

  • Responsible for setting up the classrooms in accordance with the teaching requirements provided by supervisor or lecturers.  
  • Support the equipment rental and classroom booking by students.
  • Assist in school operations e.g. maintain the cleanliness of the classrooms; ensure the classrooms are being locked when not in use; update and post notices/memos on student notice boards; manage printing requests from students etc. 
  • Handle tutors’ requests if needed.

Lecturer / Programme Coordinator (Hong Kong Art School)


Job Duties

  • Teach and assess students at all levels and supervise their project works.
  • Act as programme coordinator in development and delivery of the high diploma programme at various levels. Support curriculum and new course development if needed. Ensure the assessments methods, learning materials and methods of delivery do meet the learning objectives.
  • Support the school and academic team to ensure the effective day-to-day operations in academic areas.
  • Participate in accreditation and quality control processes/review and liaise with accreditation bodies as necessary.
  • Supervise the duty of Teaching Assistant.
  • Work closely with programme admin team to ensure efficient and effective running of programmes and modules.
  • Participate in student recruitment and retention activities/events. Play a key role in assisting students to develop and prepare themselves as a next generation artist.

Job Duties

  • Provide ushering and front of house service in theatres, assist in house rules and regulations enforcement
  • Perform effective communication with patrons, guests and venue hirers

Chief Theatre Technician


Job Duties

  • Perform all aspects of stage and event operations in stage and multi-purpose areas with a view of ensuring the set-up, rigging, rehearsal, performance and strike-out are carried out smoothly and safely.
  • Provide the technical and operational support to stage and theatre performance to be held at HKAC and ensure all technical requirements are fulfilled in a safe and professional manner.
  • Participate in supervising the teams and delivering staff training to ensure the up-to-date theatre technology and industry best practice is being enforced. 
  • Assist in monitoring freelancer and supervise the progress of setup and dismantling of the events if needed.
  • Contribute in the maintenance plan including but not limited to review the life cycle and infrastructure of the technical equipment regularly, scheduling the preventive maintenance etc. 
  • Required to work on rostering and shift duty.

Requirements

  • Minimum 5 years or above relevant experience in technical and productions support for theatre, cinema operations and stage operations.
  • Experience in sizable performing arts venues or companies at supervisory level will be an added advantage. 
  • Independent and highly-organized.  
  • Able to guide and lead the technicians and freelancer.
  • Strong interpersonal and customer service skills.
  • Experience in AutoCAD drawing is preferred.
  • Good English and Cantonese. 
  • Candidate with less experience will be considered as Senior Technician.

Over the years, Hong Kong Arts Centre has offered opportunities to local and overseas university students to gain an exciting and fulfilling experience through our internship and volunteer schemes. Our internship programme provides an excellent opportunity for their students to explore their potential through hands-on work experience, gaining exposure to the different aspects in the operation of the Hong Kong Arts Centre. The learning experience is a stepping stone to a promising future in arts administration and arts education.

Are you art lovers? Do you have time to spare? Join the Hong Kong Arts Centre as a volunteer! Our volunteers come from a variety backgrounds, helping with events and programmes and providing administrative support to the Hong Kong Arts Centre. They are also trained to give docent tours. Volunteers can participate in various types of service, depending on their knowledge, interest and availability. No previous experience is required. Let us know your availability.
